ROLE DESCRIPTION

We are looking for an exceptional Personal Assistant to support our Directors.

  • Working with leaders across the business, you will have impeccable front-of-house etiquette and communication skills.
  • Able to manage shifting priorities, whilst maintaining accuracy, you will remain positive at all times. Whilst carrying out any administrative task, you will meticulously search out and rectify errors in order to perfect systems and procedures, maximising productivity.
  • Remaining calm under pressure, you will approach demanding situations in an accommodating and diplomatic manner, providing practical solutions to any problem. As a self-motivated individual, you will possess excellent negotiation skills and be able to build stable relationships based on mutual trust.
  • The successful candidate will be highly organised in order to meet tight deadlines and must possess superlative diary management and meeting scheduling skills. Previous PA or secretarial experience is essential but not necessary.

JOB RESPONSIBILITIES 

  • Be a great ‘front-of-house’ ambassador for the business – delivering professional email communications and greeting guests enthusiastically
  • Complete management of diaries with a forward view of at least 6 weeks out to ensure that daily schedules run to time and personal appointments/events are taken into account
  • Proactively organise rooms, equipment etc., and all other arrangements to ensure meetings run well. Prepare agendas, oversee distribution of paperwork and follow up on actions.
  • Deal with diary changes and matters arising during the working day – including over-running meetings or other challenges – in a proactive manner, including rearranging travel or contacting other attendees
  • Provide assistance with creation of reports and presentations as required – Advanced PowerPoint/word skills and creative judgement. Strong eye for detail
  • Arrange domestic and international travel, and restaurant/venue bookings
  • Process expenses and departmental invoices as required
  • Arrange away days/overnight events – both client-facing and internal from end-to-end including all liaison with external partners, managing invitations and ensuring the smooth-running on the day
  • Provide support as directed for Account Management processes.

MINIMUM SKILLS REQUIREMENTS

  • Expert knowledge in MS office, Outlook, Excel, PowerPoint etc.
  • Quick learner, Fast Acting & always able to read between the lines.
  • Ability to multitask under pressure

 

DESIRABLE SKILLS REQUIREMENTS

  • Excellent communication skills – interacts confidently and effectively with senior business leaders and staff at all levels, both verbally and in writing
  • Responsible for own work and for supporting the Managers with their workload e.g. handling all administration and providing support and advice on day-to-day issues
  • Maintains relationships with peers across all departments but able to handle confidentiality (not gossiping)
  • Must operate within an ever-changing environment as well as dealing with both routine and non-routine problems. The issues are often sensitive so require considerate handling in order to resolve them satisfactorily
  • Confident in managing several projects simultaneously, prioritising where necessary
  • Works efficiently under pressure
  • Objectives and tasks in the role are often short-notice and high priority
